What you'll have at the end of the hour
- One clean price list in a format the AI reads without mistakes.
- A leads sheet in Google Sheets with fixed columns, a status dropdown and a color reminder for follow-ups.
- A saved main prompt that turns call notes into four things: open questions, a quote, a follow-up email and a sheet row.
- A check prompt that goes through the quote and confirms every price came from your price list.
- A quote template in Google Docs that you export to PDF.
Once it's set up, each new quote takes a few minutes: paste, check, fill in, send.
What you need
- A free AI tool: ChatGPT, Claude or Gemini. Any one of them is enough.
- A Google account (for Sheets and Docs).
- Your price list, even if today it only lives in your head or in old messages.
- Notes from one real client call, so you try it on something real.
One rule you don't bend: the AI does not set prices. It only copies from your price list and does the math. Any service that isn't on the list comes out as a field to fill in, [to fill: ...], and you fill it in before sending.
The kit, step by step (60 minutes)
Step 1 (15 minutes): Write a price list the AI can read
What to do: Write the price list once, in short lines, and keep it in a text file or a note. This is the file you'll paste every time.
How: One line per service: name, unit, price, and what's included. At the end, your standard terms. Say explicitly whether prices include VAT or not. (In Israel, a licensed dealer adds 18% VAT today. An exempt dealer adds no VAT at all.)
Price list of [business name]. Prices in [currency], [before VAT / including VAT].
Service | Unit | Price | What's included
[Service 1] | [per project / per hour / per item] | [price] | [what's included, how many revision rounds]
[Service 2] | ... | ... | ...
Standard terms:
- Quote valid for: [e.g. 30 days]
- Payment terms: [e.g. 50% upfront, 50% on delivery]
- Not included: [e.g. printing, photography, licensing]
- Discounts: [none / only by this rule: ...]
Common mistake: leaving discounts open. If you haven't written a discount rule, the AI may "help" and offer a bundle discount. The main prompt forbids this, but a written rule in the price list closes the gap.
Step 2 (10 minutes): Open a leads sheet
What to do: Create a new Google Sheet called "Leads" with fixed columns. The order matters, because the AI will write rows in exactly this order.
How: Copy the line below, click cell A1 and paste. Each header lands in its own column.
Date Client name Business Phone Email Lead source What they asked for Quote amount before VAT Missing in quote Status Follow-up date Notes
If everything lands in one cell, select column A and choose Data > Split text to columns. If that doesn't work either, replace the tabs with | and choose a custom separator.
Two small upgrades worth five minutes:
- Status dropdown: select column J, choose Data > Data validation > Dropdown with the values: New, Quote sent, Following up, Won, Not relevant.
- Color reminder: select A2:L1000, choose Format > Conditional formatting > Custom formula is, and paste:
=AND($K2<>"", $K2<=TODAY(), $J2<>"Won", $J2<>"Not relevant")
Pick a background color. From now on, every lead whose follow-up date has arrived is highlighted.
Step 3 (5 minutes): Save your fixed details
What to do: Write a short paragraph about the business to paste together with the price list. That way the quote and the email go out under the right name and in your voice.
Business: [name], [field], [city]. Contact: [name], [phone], [email].
Business / tax number: [number]. VAT status: [licensed dealer / exempt].
Tone: [e.g. direct and warm, first person, no superlatives].
Email signature: [name, role, phone].
Step 4 (10 minutes): Run the main prompt on a real call
What to do: Open a new chat in your AI tool and paste this prompt. Replace the brackets with the price list, the fixed details and the call notes.
How: The call notes can be anything: notes you typed during the call, a transcribed voice note, or a transcript from a meeting tool. No need to tidy them up.
You prepare price quotes for my business. Here are three inputs.
My price list:
[paste the price list]
Business details:
[paste the fixed details]
Notes from the call with the client:
[paste the notes or transcript]
Binding rules:
1. Prices only from the price list. If the client asked for something that isn't on it, write the line with [to fill: price for ...] and do not guess a price.
2. Do not offer a discount, deal or bundle that isn't written in the price list.
3. Quantities only from what was said on the call. If no quantity was said, write [to fill: quantity].
4. Do not invent dates, delivery times or commitments. If the client asked for a date, write it as "Client asked for: ...".
5. Calculate totals only from lines that have a price. Show the calculation. Say explicitly that [to fill] lines are not included in the total.
6. VAT according to the price list and the VAT status. If unclear, write [to fill: VAT].
Return exactly four parts, with these headings:
Part A: What's missing
A short list of what must be clarified or filled in before sending. If nothing, write "Nothing".
Part B: Price quote
Title, client name and business, today's date, a one or two sentence description of the need, a table (Service | Details | Qty | Unit price | Total), subtotal before VAT, VAT, total due, and then the standard terms from the price list.
Part C: Follow-up email
Subject and body. Short, in the business's tone, mentions one specific point from the call, attaches the quote, and suggests one clear next step. No pressure and no "limited-time offer".
Part D: Sheet row
One line inside a code block, with a tab between columns, in exactly this order:
Date | Client name | Business | Phone | Email | Lead source | What they asked for | Quote amount before VAT | Missing in quote | Status | Follow-up date | Notes
Status: "Quote sent". Follow-up date: three working days from today. A column with no information stays empty, but its tab stays. No tabs or line breaks inside a cell.
Common mistake: pasting only the call notes, without the price list. Then it has nowhere to copy prices from, and if the rules work, every line comes out [to fill]. That means the rules work, not that something broke.
Step 5 (5 minutes): Check that no price came from anywhere else
What to do: In the same chat, run a short check prompt. It doesn't fix anything, it only points.
Go through the quote you wrote, line by line. For each line write: the service, the price in the quote, the price list line it came from (exact quote), and "matches" or "doesn't match".
Then check the math: the sum of the lines, the VAT and the total. If there's a mistake, show the correct calculation.
At the end, list every [to fill] that's left. Do not change the quote and do not add services.
If anything says "doesn't match", fix it by hand or ask "fix only line X according to the price list".
Step 6 (10 minutes): A quote template in Google Docs, and the sheet row
What to do: Build a good-looking quote template once. Each time, copy Part B into it, and paste Part D into the sheet.
How:
- In Google Docs, open a document called "Quote template". At the top: logo, business name, contact details and business number. Below: "Quote no. [year-number]", for example 2026-014.
- For each quote: File > Make a copy, paste Part B, fill in every
[to fill], and export with File > Download > PDF. - In the sheet: click cell A in the first empty row and paste the row from Part D. If the amount changed after filling in a
[to fill], update column H and clear what you filled in from column I.
Step 7 (5 minutes): Send, and schedule the follow-up
What to do: Go through the checklist below, send the email with the PDF, and let the sheet remember the follow-up.
When the row turns color on the follow-up date, run this prompt with the row from the sheet:
Here is the client's row from my sheet: [paste]. The quote was sent [number] days ago and there was no reply.
Write one follow-up message, up to 3 sentences, in my business's tone: [tone]. No pressure, no discount, no "just checking in". One simple question that's easy to answer.
Full example: Noa Design Studio (a fictional business)
Everything in this example is fictional: the business, the client, the prices and the details. The prices are only for illustration, not a recommendation.
Price list of Noa Design Studio. Prices in ILS, before VAT.

Uri, Shaked Café (fictional), Haifa. Opening a second branch. Wants a new logo for both branches, a sign for the storefront, one A3 menu, and posts for the opening (said "about 8"). Wants it all by end of September. Asked if there's a bundle discount. Came from a past client's referral. Phone 050-0000000.
What the AI returned (shortened):
Part A: What's missing. A price for sign design (not on the price list). Confirm the number of posts (the client said "about 8"). The sign's dimensions. The client asked about a discount, and the price list says "none": decide what to answer.
Part B: Price quote (table):
| Service | Details | Qty | Unit price | Total |
|---|---|---|---|---|
| Logo design | 3 concepts, 2 revision rounds | 1 | 3,500 | 3,500 |
| Menu design | A3 page, print-ready file | 1 | 900 | 900 |
| Social posts pack | 8 posts, one template | 1 | 1,600 | 1,600 |
| Storefront sign design | [to fill: dimensions] | 1 | [to fill: price for sign design] | [to fill] |
Subtotal before VAT: 3,500 + 900 + 1,600 = ILS 6,000 (not including the sign line). VAT 18%: ILS 1,080. Total due: ILS 7,080, plus the sign once filled in. Client asked for: delivery by end of September.
Subject: Quote for Shaked Café: logo, menu and opening posts
Hi Uri,
Thanks for the call today, and congratulations on the second branch in Haifa.
Attached is a quote for the logo, the menu and the opening posts pack. I'll add the sign design once I know the storefront dimensions.
If it suits you, let's set ten minutes this week to go over the quote and settle the dimensions.

Notice three things: the sign didn't get an invented price, the discount request came up as a question and not as a discount, and the delivery date was recorded as the client's request, not as a commitment.
Checklist before every send
- Every price in the quote passed the check prompt ("matches")
- No
[to fill]left in the quote or the email - The math is right: lines, VAT, total

What's next
This kit works by hand: you paste, check and send. The same process can be connected so the call notes come in on their own, the quote is created in your document, the row lands in the sheet, and the follow-up reminder reaches you as a message. What gets sent stays your decision.
