Automatic invoice capture from Telegram and email

The promise: Within an hour you'll have a private Telegram bot and an email scanner: send the bot a photo or PDF of an invoice, or let it arrive under a Gmail label, and a row lands in Google Sheets by itself with supplier, date, invoice number, amount before VAT, VAT, total, currency and a link to the file. Anything that doesn't add up is flagged for review.

  • Aviad Gindi

Note: general recommendations only, not professional advice. You are responsible for checking before use. For money, VAT and tax matters, consult a certified accountant or tax adviser. The full text is at the end.

What you'll have at the end of the hour

  • A Telegram bot that answers only you. Messages from any other account get no reply and are not processed.
  • A Gmail scan every 15 minutes of the label "invoices". Every email it handles gets the label "invoices-done".
  • An "Invoices" sheet with a row per invoice, and a neatly named file in a Drive folder.
  • A "needs_review" column that flags a row when a field is missing, when the amount before VAT plus VAT doesn't equal the total, or when the VAT doesn't match the printed rate.
  • Duplicate protection by supplier and invoice number. The same invoice sent twice is not added twice.

Everything runs in your own Google account, in Google Apps Script. No server and no subscription.

What you need

  • A Google account (Gmail, Drive, Sheets, Apps Script).
  • Telegram on your phone.
  • A free Gemini API key from Google AI Studio. We chose Gemini because it reads photos and PDFs directly, has a free tier, and connects naturally to Apps Script. The model set in the code: gemini-3.5-flash-lite. You can change it with one setting.

Before you start, on privacy: according to the Gemini API pricing page, on the free tier the content you send is used by Google to improve its products. On the paid tier it isn't. Supplier invoices are business data. If that doesn't suit you, enable billing for the project in AI Studio before using it, or use the bot only for invoices with nothing sensitive in them.

The kit, step by step (60 minutes)

Step 1 (5 minutes): Create a bot with BotFather

What to do: In Telegram, find @BotFather (with the blue verification mark), send /newbot, choose a name, and a username that ends in bot.

How: BotFather returns a token that looks like 1234567890:AA.... The token is the bot's password. Don't send it to anyone, don't paste it into the code and don't paste it into an AI chat. In step 4 it goes into the script's protected settings.

Step 2 (5 minutes): A Gemini key

What to do: Go to aistudio.google.com with your Google account, click Get API key and create a key.

How: Keep the key somewhere safe for now. It also goes only into the script's settings. The free tier limits (requests per minute and per day) are shown in AI Studio, and they change from time to time. Each invoice is one request, so check that the limit fits the number of invoices you get.

Step 3 (5 minutes): A sheet and a folder

What to do: Create a new Google Sheet (for example "Invoices") and a new Drive folder (for example "Invoices 2026").

How: Copy two IDs from the URLs:

  • Sheet ID: the part between /d/ and /edit in the sheet's URL.
  • Folder ID: the part after /folders/ in the folder's URL.

The script creates the tab and the headers by itself.

Step 4 (10 minutes): Paste the code and set the secrets

What to do: Open Apps Script from the sheet, paste all the code, and put the secrets into the settings.

How:

  1. In the sheet: Extensions > Apps Script. A project opens with a file Code.gs.
  2. Delete what's in it and paste all the code from the appendix at the end of this kit. Save (the disk icon).
  3. In the left menu: Project Settings (gear icon). Tick "Show appsscript.json manifest file", and check that the time zone is yours (for Israel, Asia/Jerusalem).
  4. On the same page, at the bottom: Script Properties > Add script property. Add:
Property What goes in it
TELEGRAM_TOKEN The token from BotFather
GEMINI_API_KEY The key from AI Studio
WEBHOOK_KEY A random string you make up, at least 24 letters and digits
SHEET_ID The sheet ID
FOLDER_ID The folder ID
BOT_LANG en for English replies, he for Hebrew (the default)

You add OWNER_CHAT_ID and WEBAPP_URL later.

Why this way: script properties are not visible in the code. If you share the code or copy it to another project, the secrets don't go with it.

Step 5 (5 minutes): Run setup and approve permissions

What to do: At the top of the editor, choose the function setup and click Run.

How: Google asks for permissions for Sheets, Drive, Gmail and for making outside requests. A screen says "Google hasn't verified this app", because this is a script you wrote for yourself, not a published app. Click Advanced > Go to (project name) and approve. At the end, the execution log shows setup ok.

setup checks that all properties exist, creates the "Invoices" tab with the headers, creates the labels invoices and invoices-done in Gmail, and adds a trigger that runs scanGmail every 15 minutes. You can run it again without harm.

Step 6 (10 minutes): Deploy as a web app and connect Telegram

What to do: Turn the script into an address Telegram can send messages to.

How:

  1. Deploy > New deployment. Type: Web app. "Execute as": Me. "Who has access": Anyone.
  2. Click Deploy and copy the address that ends with /exec.
  3. Add a script property WEBAPP_URL with this address.
  4. Choose the function setWebhook and click Run. The log shows webhook set.

Why "Anyone" is fine: Telegram has to post to the address without signing in to Google. The protection is twofold: the code rejects any request without your WEBHOOK_KEY, and it only handles messages from your chat_id.

When you change the code: Deploy > Manage deployments > Edit (pencil) > Version: New version > Deploy. That way the address stays the same, and you don't need to run setWebhook again.

Step 7 (5 minutes): Lock the bot to you and send a first invoice

What to do: Send the bot /start. It answers with your chat_id. Add a script property OWNER_CHAT_ID with that number.

How: From now on the bot ignores everyone else. Send it a photo of a real invoice, or a PDF as a file. Within seconds you get a reply, such as "Saved: ..." or "Needs review: ..." with the reason, and a new row appears in the sheet.

Common mistake: sending a blurry or cropped photo. The bot will try, some fields will come out empty and the row will be flagged for review. Shoot straight, in good light, with the whole page in the frame. An original PDF always beats a photo.

Step 8 (5 minutes): Connect Gmail

What to do: Create a Gmail filter that puts the label invoices on every invoice email.

How: In the Gmail search box type, for example, has:attachment (invoice OR receipt), click the filter icon at the side of the search bar, Create filter, and tick Apply the label: invoices. You can add regular suppliers' addresses under "From". If you tick "Also apply filter to matching conversations", older emails are picked up in the next scans too, ten at a time.

You can also send an email to the bot by hand: just put the label invoices on it.

Step 9 (10 minutes): Check that everything works

What to do: Three short checks.

  1. Duplicate: send the bot the same invoice again. The reply should be "Already in the sheet, not saved again".
  2. Email: send yourself an email with a PDF invoice, put the label on it, and in the editor run scanGmail by hand. The row arrives with source = gmail, and the email gets the label invoices-done.
  3. The Telegram connection: run webhookInfo. If last_error_message keeps showing up, or pending_update_count keeps growing, switch to plan B: run usePolling once. It removes the direct connection and checks Telegram every minute. Replies come slower, up to a minute, but it works even when the direct connection isn't stable.

How the bot decides what to flag

A row is marked "needs_review" and gets a reason in the review_reason column when:

  • A field is missing: supplier, invoice number, date, amount before VAT, VAT, total or currency.
  • The math doesn't close: amount before VAT plus VAT differs from the total by more than 0.10 (or 0.1% on large amounts), so rounding doesn't trip it.
  • The VAT doesn't match the printed rate: if the invoice prints a rate (for example 18%) and the amount doesn't match it.
  • It's probably not an invoice: a quote, an order or another document.
  • A zero or negative total (maybe a credit note), or a future date.

The VAT rate in Israel has been 18% since January 1, 2025. The bot doesn't assume it: it reads the VAT and the rate from the document. That way an older invoice with 17%, a foreign invoice with no VAT, or an exempt dealer who charges no VAT are all saved correctly. An exempt dealer who prints VAT 0 passes without a flag.

Duplicate protection: the key is the supplier name without "Ltd", "Inc" and punctuation, plus the invoice number without leading zeros. "Galil Print Ltd." with 004512 and "Galil Print" with 4512 are the same invoice. When the supplier or number is missing there is no key, and the row is flagged for review anyway.

Security and privacy, in short

  • The token, the API key and the webhook key live only in the script properties, and are hidden in every error message written to the log.
  • The Gemini key is sent in the request header, not in its address.
  • The bot answers only OWNER_CHAT_ID. Anyone else gets no reply, and their file is not processed.
  • Files are saved in your Drive folder, with the permissions you set on it. The script doesn't share them.
  • Text inside an invoice is data, not instructions. The prompt tells the model so explicitly, and in any case the code only writes a row and saves a file.
  • Size limit: up to 20 MB per file (Telegram's download limit for bots).

When something doesn't work

What you see What to do
The bot doesn't reply at all Run webhookInfo. If there's an error, check that WEBAPP_URL ends with /exec and run setWebhook again. If that doesn't help, usePolling
Missing script property ... in the log A script property is missing, or its name has a space in it
Every row says "could not read the document: Gemini HTTP 429" You went over the free tier limit. Wait, or slow down: send fewer files at once
"Gemini HTTP 404" The model name changed. Add a property GEMINI_MODEL with a current model name from the Gemini API models page
A labeled email isn't scanned It needs a real attachment (not an image inside the body), and it must not already have the label invoices-done
One supplier is read under two names Fix the name in the sheet. If the next invoice from that supplier comes with a different name again, the duplicate check won't catch it, so go over the rows once a week

Full example: Noa Design Studio (a fictional business)

Everything in this example is fictional: the business, the suppliers, the numbers and the amounts.

Noa took a phone photo of a tax invoice from "Galil Print Ltd." and sent it to the bot. A few seconds later the reply came:

Copy-ready
Saved: Galil Print Ltd. · #004512 · 2026-08-24 · 1180 ILS

And the sheet got a row (some of the columns):

supplier invoice_number invoice_date net_amount vat_amount vat_rate total currency needs_review
Galil Print Ltd. 004512 2026-08-24 1000 180 18 1180 ILS

The same week, a receipt from a foreign software supplier arrived by email, and the Gmail filter put the label on it. Within the next quarter of an hour a row was added:

supplier invoice_number invoice_date net_amount vat_amount total currency needs_review review_reason
PixelSuite Inc. PS-88213 2026-08-26 59 USD YES missing: net, vat

The flag is right: this receipt has no VAT breakdown. Noa checked, filled in net_amount = 59 and vat_amount = 0 in the sheet, and cleared the flag.

At the end of the month Noa filters the sheet to an empty needs_review and sends her accountant the sheet with the file links.
